Synopses of Board Meetings

    President Ryan Forde called the November 12, 2020 virtual meeting to order at 8 AM with Steve Lehenbauer, Matt Watts, Darin Sabers, Tim Groener, Kristi Browning, Sandy Perrin, Gina Albaugh, Beth Eiring, Tom Perry, and Emily Talago present.

    The minutes of October 8, 2020 & October 29, 2020 meetings were reviewed and motion was passed on accepting the minutes. Beth Eiring with the Montana Department of Ag. reported that the nursery license numbers are comparable to last year.

    Emily Talago, Kristi, & Gina updated the board on the Specialty Crop Block Grant that was awarded to the MNLA.  It was decided to have Emily & Kristi to be independent contractors while working on the 3 year project.  The interns that they hire to help will receive a stipend, scholarship, or tuition reimbursement.

    Ways were discussed to bring in some revenue due to cancelling EXPO such as a winter leaflet on line with advertising opportunities.  Steve made a motion to raise advertising rates by 5%, Sandy second, motion carried unanimously.  A letter and email notification will be sent out to members shortly on EXPO cancellation.  Board Member positions opening up:  Secretary and Member-at-Large and 3RD Vice President.  It was agreed to send out a notification when the cancelLation letters go out about the EXPO. The hotel contract for EXPO 2021 has been cancelled, Steve made a motion to re-book in Billings for 2022, Kristi second, motion carried.  The Annual Membership Meeting will be moved to a virtual platform,  staying with the same date of Thursday, January 7th, 2021, moving the time to 2:00 pm.  The sponsors who have all ready paid will be given the choice of credit for next year, sponsoring this years virtual meeting or rebate.  The awards for Best of MT entries and Container contest will be included on the virtual meeting.  Extending the deadlines for submission to Dec. 15th

    President Ryan Forde called the meeting to order at 7 AM via video conference call.  Present were: Steve Lehenbauer, Matt Watts, Darin Sabers, Tim Groener, Sandy Perrin, Gina Albaugh, Beth Eiring, Sue Clark, Tom Perry

    Beth Eiring gave an update on the nursery license fees from the Montana Department of Ag. Sue Clark/Tom Perry  from the DNRC Conservation Seedling Nursery reported changes in management in the nursery, and the city tree inventory reports on their Urban Forest Website.

    The Finance Committee report was discussed, noting that the fall tour had brought in several thousand dollars in profit. The Specialty Crop Block Grant has been approved and Gina will have Emily from Cashman’s Nursery on next meeting to talk about moving forward in working on the new publications. Gina explained the results of the survey sent out to members on attending the Billings 2021 Expo. Gina and Steve will discuss this further with the Billings Convention hotel to see what accommodations might work and be cost effective, a special board meeting to be held at the end of October to make a final decision on Expo 2021.

    President Ryan Forde called the meeting to order, present were Steve Lehenbauer, Matt Watts, Darin Sabers, Tim Groener, Kristi Browning, Sandy Perrin, Gina Albaugh. The minutes of the August 13, 2020 meeting were reviewed, Steve made a motion to approve with Gina seconding, motion passed. Steve lead the discussion and review of the Finance report for August 2020.  There was more money brought in on the golf tournament.  Steve made the motion to approve with Sandy second, motion carried.

    The board reviewed and discussed the Short Course Scholarship application submitted, Matt made the motion to approve with Steve second, unanimously approved. Gina reported membership renewal numbers.  We should know soon on if the  Specialty Crop Block Grant  has gotten funded. It was decided to keep with the complete board monthly meetings, using the committee structure only when needed.

    Kristi gave the Education update - A motion was made by Steve that any student signing up for a membership would get a free CPP manual, Sandy second.  Motion approved. Fall Tour registration is 38 people, board duties and schedules were discussed. It was decided to send out a poll to members, speakers and vendors on whether to hold Expo 2021 due to Covid restrictions. Tim & Steve updated the board on the Billings Chapter golf tournament and that $2,700.00 was raised to help with Darin Spooners medical expenses.

    President Ryan Forde called the meeting to order at 7AM, virtually with Steve Lehenbauer, Matt Watts, Darin Sabers, Kristi Browning, Sandy Perrin, Gina Albaugh, Beth Eiring, Ian Foley, Ben Thomas, Carson Thomas, and Tom Perry present. MDA Director Ben Thomas gave an update on the seed packets Montana residents are receiving in the mail from China.  Ian Foley added that over 80 packets had been turned in with over a 200 reported.  MDA will send an announcement that can be emailed out to members making them aware of what to advise people to do with the seed packets.  Carson Thomas the MDA nursery inspector reported on Japanese Beetle trapping in Billing.

    Gina updated the board on membership renewal numbers, website updates, financial reports, fall tour registrations and sponsorships.  The 2021 Expo will be in Missoula with the Fall tour happening in Billings. The Board will meet in person before the Fall Tour on September 10th in Kalispell.

    President Forde called the June meeting to order at 7AM with Caroline Wallace, Steve Lehenbauer, Matt Watts, Darin Sabers, Kristi Browning, Sandy Perrin, Gina Albaugh, Jyl Story, Layla Dunlap, Sue Clark and Beth Eiring attending.

    • The Finance Report was discussed and March minutes were accepted. 
    • Layla Dunlap gave the Montana Department of Ag Report, Japanese Beetle traps have been placed around Billings and nursery inspections have started.  Sue Clark gave the Conservation Seedling Nursery Report.  
    • Sue reported there will be a small business adaptability grant available at covidreliefmt.org, that members may apply for.
    • Gina reported that they had transferred most of the ED correspondence and files to her office
    • Caroline led the discussion on Governance Committees report on follow up on the reporting guidelines for recipients of the Community Beautification Fund.  Discussion followed on the questions that will be in the survey to members about the experiences they have had during covid pandemic.
    • Matt gave a summary of the fall tour line up. 
    • Steve led the Billings Chapter update and Golf Tournament schedule for August 13th.
    • The board reviewed the current Expo speaker lineup.  There are several people wanting to take the CPP exam at Fall Tour and Glacier Nursery has agreed to host it and provide plant material.
    • The board thanked Jyl for her wonderful service as the Executive Director for the last eight years as she will be done at the end of the month.

    The meeting was called to order at 7:00 AM by Ryan Forde via virtual go to meeting with Caroline Wallace, Steve Lehenbauer, Matt Watts, Darin Sabers,Tim Groener, Kristi Browning, Sandy Perrin, Gina Albaugh, Jyl Story, Layla Dunlap, and Sue Clark present.

    The board welcomed the new Executive Director Gina Albaugh. Layla with the Montana Department of Ag gave the Report and is working on the Japanese Beetle trapping in Billings in June. Sue Clark with the Conservation Seedling Nursery reported they have put a link on their website to guide people looking for plant material to the MNLA website. The minutes for April 9, 2020 and Financial statement were reviewed and accepted. The 2020-2021 Budget was discussed and approved.  The Finance committee’s recommendations on awarding the Community Beautification Fund to the following were approved.

                1.  MSU Extension @ Fort Belknap              $   250.00  Bench

                2.  Yellowstone Arboretum                            $1,000.00

                3.  Missoula Memorial Rose Garden             $1,000.00

                4.  State of MT Arboretum                             $1,000.00

    Jyl reported the transition of job duties to Gina was progressing, a new address has been established and a press release will go out shortly statewide to announce Gina as the new Executive Director.

    President Ryan Forde called the April 2020 meeting to order via conference call at 7am. on April 9th.  Present were:  Caroline Wallace, Steve Lehenbauer, Matt Watts, Darin Sabers, Tim Groener, Kristi Browning, Sandy Perrin, Jyl Story, Beth Ering, and Sue Clark.

    Beth Ering reported for the Department of Ag.  they are unsure when nursery inspections will start at this time. Steve reported that the financials are looking good.  The March minutes we unanimously approved with a motion from Steve and Ryan second.   Jyl and Steve updated the board on the events that took place in regards to COVID-19.  Upon hiring an attorney they worked together to get landscaping deemed an essential business.  Caroline welcomed Sue Clark to participate in the Governance report about its discussion about the DNRC seedling nursery and the withdrawal to compete on private reclamation project bids.  Discussion about starting more chapters in other Montana cities, with Darin, Matt, Sandy and Kristi working on getting names and addresses together to mail some brochures to landscape & nursery businesses.  Caroline will design a postcard to be sent out. The Executive committee reported they had selected a candidate Gina Albaugh, Jyl will stay one thru June to get everything transferred over. In new business, Ryan asked the board to conduct meetings by Virtual meetings rather than conference call.  Jyl reported that the Crop Block Specialty grant scored in the top 3 in review so it’s looking hopeful to go thru.

    President Ryan Forde called the March 2020 board meeting to order via conference call at 7am on the 12th.    Present were Steve Lehenbauer, Matt Watts, Darin Sabers, Tim Groener, Kristi Browning, Sandy Perrin, Jyl Story, Layla Dunlap, and Sue Clark

    Sue Clark with the DNRC Conservation Seedling Nursery and Layla with the Montana Department of Ag gave reports. The February minutes and financial report were reviewed and motion passed unanimously approving them.  Jyl stated that the Specialty Crop Block Grant had been accepted and passed the first screening. Matt has been working on the fall tour with a couple members in Kalispell. Kristi gave some scholarship marketing updates that she had presented to a MSU Horticulture class. Tim gave the Billings chapter update that the meeting was attended by 35-40 people. Sponsorship perks were reviewed and decided to keep the same benefits. Executive Committee Report stated they had received several applications for the  Executive Director and will continue to advertise.

    The February 13, 2020 meeting was held in Bozeman, called to order by President Ryan Forde at 10:00AM.  Present were Caroline Wallace, Steve Lehenbauer, Matt Watts, Darin Sabers, Tim Groener, Kristi Browning, Sandy Perrin, Jyl Story.

    Layla Dunlap with Montana Department of Ag submitted a written report reflecting on the increase in nursery licenses and funding ideas for Japanese beetle control in Billings.  The minutes of the January meeting were reviewed and approved.  Steve led the discussion on the January financial statements, discussing costs associated at Expo, what a good job Jyl did coming out ahead this year.  A motion to remove Mike Cashman and add Ryan Forde to the checking account signature with Steve Lehenbauer and Jyl Story remaining was approved.

    Emily Talago with Cashman Nursery joined the meeting for The Governance Committee report to discuss her writing of the Specialty Crop Block Grant to source funding for the tree and shrub guides.  Kristi made the motion to accept submission of proposed grant with Caroline second, motion carried.  The beautification fund guidelines were discussed and decided that application for the funds would have an April 30th deadline, with the end of May     announcing awarded amounts.    Matt brought up the Program/Events committee report discussing some of the articles he had sourced for the spring leaflet and asking others for their contributions by Feb 24th.  Matt is working on finding members to help plan the Fall Tour in the Kalispell area.   Tim covered what has been happening at the Billings chapter meetings with event dates for the summer.  The 2020 EXPO evaluations were discussed.  Total auction revenue raised in 2020 was $4,537.00.  2021 EXPO is set for Billings Hotel and Convention center.  Booth booking, speakers, auction, and fees were reviewed and discussed and was decided to raise booth fees by 5%.  The Executive Director search was outlined by Steve and guidelines were approved with a new ED hopefully hired by May.

    President Caroline Wallace called the meeting to order in Missoula with all members present.  The minutes and financials were approved separately.  Jyl outlined the Expo budget and outlook of registration numbers, board responsibilities, registration procedures, schedules, annual meeting and grand prize details. Mike announced that Darin Sabers of Blanchford Landscape is interested in the 3rd Vice President position. Jyl hasn’t had much response for a 2020 fall tour committee for the Kalispell area; the board will solicit Kalispell area members for help in forming a planning committee.  If there is not enough interest it will be moved to Billings. The 2021 Expo will be at the Billings Hotel and Convention center on January 5-7. In new business Caroline announced that Jyl has turned in her resignation as executive director and the Executive committee will be in charge of the search for a new one. The board met with members of the DNRC seedling nursery to discuss their role in providing nursery stock to nurseries with input from several local growers.  It was agreed upon the DNRC will refer nurseries to other privately owned wholesale nurseries for their conservation nursery stock needs. Next meeting in Bozeman February 13th.
